The definition of ‘personal data’ means any information relating to an identifiable person who can be directly or indirectly identified in particular by reference to an identifier. This definition provides for a wide range of personal identifiers to constitute personal data, including name, identification number, location data or online identifier, reflecting changes in technology and the way organisations collect information about people.

The definition of a ‘data subject’ is any identified or identifiable natural person, whose personal data is processed by the controller responsible for the processing.

We will always ensure lawful processing of personal data. There are 6 lawful bases for processing: consent; contract; legal obligation; vital interests; public task; and legitimate interests.

We will lawfully process personal data by obtaining your consent, primarily for marketing purposes. We mainly process personal data under a contractual obligation in order to provide you with our products or services e.g. providing a quotation, establishing a credit line and for the purposes of placing an order. We may occasionally process personal data where it is necessary for the purposes of our legitimate interests. As a business we also need to process personal data to comply with common law or our statutory obligations e.g. HMRC reporting requirements.

In order to meet our data protection obligations, we continually review compliance across the business by:

- Recording our data processing activities
- Taking measures to meet the data protection principles
- Implementing appropriate policies and procedures

The GDPR provides the following specific rights for individuals:

  • The right to be informed. This privacy statement explains who we are; why we process personal data and our lawful basis for doing so; the types of data we process; third party disclosures; and details of any personal data transferred outside the UK/EU.
  • The right of access. In most cases this will be free of charge and must be provided within one month of receipt.
  • The right to rectification. Where personal data is inaccurate or incomplete, we will make any amendments or additions within one month of receipt.
  • The right to erasure. Where it is no longer necessary for personal data to be collected or processed for the purpose it was originally intended, you have the right to request it is removed. Consent may be withdrawn and if there is no other legitimate reason for us continuing to process the data it will be erased.
  • The right to restrict processing. Data may continue to be stored but not processed. Depending on the circumstances, we may stop processing to investigate the accuracy or completeness of data or validate a request for erasure.
  • The right to data portability. Subject to certain qualifying conditions, this allows individuals to obtain and reuse their personal data for their own purposes across different services.
  • The right to object. Where processing is based upon legitimate interests and our requirement to process is overridden by the rights of the individual or for the purposes of direct marketing (including profiling); or for the purposes of scientific or historical research and statistics, unless it necessary for the performance of a public interest task.
  • Rights in relation to automated decision making and profiling.
